Who it is for

  • Delivery and rideshare drivers, freelancers, tutors, cleaners, creators and other gig workers in Canada
  • Sole proprietors who report on Form T2125 and are tired of messy notes at tax time
  • Anyone who gets paid without an employer taking tax off

The problem

Statistics Canada counted 2.711 million self-employed workers in 2025 (Labour Force Survey), and 667,000 people did paid digital platform work in the 12 months to December 2025. Nobody takes tax off those payments. Expenses, mileage and the GST/HST limit are easy to lose track of until the tax bill arrives.

Sources: Statistics Canada, Employment by class of worker, annual, Table 14-10-0027-01 (self-employed, 2025: 2,711.0 thousand), and The Daily, Labour Force Survey, December 2025 (digital platform workers). Both pages checked October 23, 2026.

What is inside

  • Excel / Google Sheets workbook (15 tabs, formulas only, no macros): Dashboard, Income Log, Expense Log (21 categories that match Form T2125, Part 4), Mileage Log, Home Office, GST/HST Tracker, Instalments, Set-Aside calculator, Monthly Summary, Yearly Summary (laid out like T2125), Settings, Categories, Sources, New Year Reset.
  • GST/HST small supplier tracker: rolling four-quarter total against $30,000, with an early warning.
  • Instalment reminder dates for 2026 and a paid, upcoming or overdue status.
  • QPP and Quebec threshold included: pick Quebec on Settings and the tracker uses QPP (12.6%) and the $1,800 instalment threshold.
  • Tax set-aside calculator: a rough estimate of what to keep from every $100 you receive, with 2026 CPP and CPP2 rates, and QPP rates for Quebec.
  • Mileage log: the CRA business-share method (business km divided by total km, times your vehicle costs).
  • A filled-in sample copy with made-up numbers, so you can see it work.
  • 10 page guide (PDF) with CRA and Revenu Quebec links and the date each page was checked.
  • One page checklist (PDF) and a README with a 10 minute quick start.

Formulas only, no macros. Tested in LibreOffice. Yellow cells are for you, grey cells are formulas.

A look inside

Select a picture to make it bigger. All numbers are made up.

What it is not

  • It is not tax, legal or accounting advice. Numbers are estimates.
  • It does not file anything and does not calculate income tax, CCA, PST or QST. In Quebec it uses QPP, but Revenu Quebec instalments, QPIP, the health services fund and QST are not worked out. Quebec businesses register for and file GST/HST and QST with Revenu Quebec.
  • The set-aside is a rough estimate. It ignores the deduction for half of CPP or QPP and tax credits.
  • Passenger vehicle limits, the $23 courier flat rate and the 80% trucker meal rate are not applied.
  • It does not promise any income, refund or tax result.
  • It is built for one sole proprietor business with a calendar tax year.
  • Public holidays are not handled in the instalment dates.
